The Arcane Ledger records your tabletop game sessions and turns them into notes. This page explains what we collect, how we use it, and the promises we make about your table's recordings — written as plainly as we can.
What we collect
- Your account — your email and display name (and, if you sign in with Discord or Google, the basic profile they share with us).
- Your campaign content — the notes, timelines, characters, and other text the app creates from your games, plus anything you type in yourself.
- Audio you record — kept only long enough to turn it into text (see below).
- Payment details — handled by our payment provider (Stripe). We never see or store your full card number.
- Basic technical data — things like your approximate location and browser, used to keep the service secure and working.
Your recordings — the promise we lead with
- When you record a session, we turn the audio into text and then the audio is deleted automatically, usually within minutes. You keep the notes; we don't keep the recording.
- Recording is always shown with a visible indicator, so no one is recorded without knowing.
- You are responsible for making sure everyone at your table agrees to be recorded. We give you the indicator and the controls; getting your players' agreement is up to you.
How we use your information
- To run the service — turn your sessions into notes and power the features you use.
- To manage your account and your subscription.
- To keep the service secure and to fix problems.
- To contact you about your account or important changes to the service.
We do not sell your data, and we never use your campaigns, your notes, or your players' voices to train AI models.
Who we share it with
To provide the service we rely on a few trusted companies that process data on our behalf, and only to do their job for us:
- A speech-to-text provider (to turn your audio into text),
- An AI provider (to write your notes and answer the Oracle),
- Stripe (to take payments),
- Our hosting and infrastructure providers (to run and store the service).
We may also disclose information if the law requires it. That's the whole list — no advertising networks, no data brokers.
Where your data lives, and for how long
- Your account and campaign data is stored on secure servers and kept while your account is active.
- Recorded audio is deleted shortly after it's turned into text.
- When you delete a campaign or your account, we remove its data, and it rolls out of our backups shortly after.
Your rights & choices
- You can view, export, correct, or delete your data at any time from inside the app, or by contacting us.
- If you're in the EU/UK or California, you have rights to access, portability, correction, deletion, and objection — and we honour these for everyone, everywhere.
- A player in a campaign can ask the game master, or us, to erase their data.
Cookies
We use a small number of essential cookies to keep you securely signed in. We don't use advertising or third-party tracking cookies.
Children
The service isn't intended for children under 16 (or the age of digital consent where you live), and we don't knowingly collect their information.
Changes to this policy
If we change this policy we'll update the date above, and for significant changes we'll let you know.
